How To Ship Conference Swag Internationally

Have you been skipping on doing swag for your international conferences because it’s a pain? Well we have the top 4 tips for you to use for your next internal conference!

It always sounds so nice to get to fly international for a conference. What’s better than a paid work trip to a foreign country? It all sounds great until you have to figure out your conference swag. Then suddenly this nice international trip seems like a logistical nightmare. While I can’t promise it won’t be a logistical nightmare, I can say there are some tips to help make it better. Let’s get to it!

Tip 1: Order Swag Early

You might be like I don’t need to order early do it? Yes , yes you do. You have to take in account that even overnight shipping isn’t overnight it’s about 3 -7days depending on the location and time of year. So you can imagine slow ship is about 15 days and that assuming it makes it through customs. So give your self the time to ship the swag early by ordering early.

Tip 2: Give Yourself A Shipping Buffer 

You probably figured this would be the case based on the first tip. Now if the carrier is saying it takes 7 days to get there give yourself 3 days in case it get stuck in customs. This will allow time for the items to arrive on time if there are any delays.

Tip 3: Avoid Electronics With Lithium Batteries

Shipping lithium battery is a no go in any carriers unless you want to sign a waiver and pay a fee per item. Which the fee isn’t that cheap and by that point you could have just ordered more swag or something that is safer bet to ship internationally.

Tip 4: Give Recipient Heads Up of Shipment

If your items get stuck at customs, they will call. So make sure you have the right info and that the person receiving it knows it’s coming. If they person on the other end has no clue, customs can reject the package and even discard it.
